Laboratories working in water and wastewater analysis face more challenges than ever before. With increased regulatory scrutiny around “forever chemicals” like PFAS (per- and polyfluoroalkyl substances), accurate, audit-ready results are essential. EPA Method 1633, which is specifically for PFAS analysis in non-potable water, has raised the bar—but also the complexity.

For lab teams, managing data for more than 40 PFAS compounds per sample (plus, a high volume of samples), represents a significant strain. That strain is amplified for teams who rely on outdated methods like manual data entry or spreadsheet-based systems.

So, how can labs clear these hurdles? How can they master EPA Method 1633? Let’s explore how BTSOFT’s purpose-built laboratory software can transform PFAS data management.

Why EPA Method 1633 Is So Complex

EPA Method 1633 is designed to monitor the presence of PFAS in wastewater. This regulation demands precise reporting for over 40 individual compounds. That’s a demanding task for even the most skilled environmental labs.

Each sample needs careful tracking. From preparation and analysis to data recording and reporting, doing this manually and/or done via spreadsheets is error-prone and inefficient. One missed entry can mean non-compliance or a failed audit, risking both reputation and regulatory standing.

PFAS Testing

The Growing Need for Accurate Analysis

Common Data Challenges for Wastewater Labs

  • High sample volumes, sometimes hundreds per day, translating to thousands of individual data points.
  • Detailed record-keeping requirements, including parameters, hold times, and chain-of-custody documentation.
  • Anxiety around audit readiness, especially when data is scattered across files and manual notes.
  • Regulatory demands that leave no room for error, delays, or missed details.

Yes, these represent a challenge to your lab’s efficiency, but they can also represent a landmine and cause your lab to lose trust with clients and regulators.

So, what can you do?

How a Modern LIMS Solves EPA Method 1633 Data Management

Environmental and wastewater labs face unique challenges in managing data for EPA Method 1633, given the large number of analytes, strict regulatory requirements, and the need to maintain audit-ready records. A modern Laboratory Information Management System (LIMS) can fundamentally transform how labs approach these challenges.

Automated Data Capture

LIMS automate the process of capturing data directly from laboratory instruments, eliminating the need for manual data entry and transcription. This not only reduces the risk of human errors commonly associated with spreadsheets, but also ensures that all results for the 40+ PFAS compounds are accurately mapped to the appropriate samples. Data can flow into the system, where it is automatically validated against method specifications. In practice, this looks like a dashboard view, where analysis files are uploaded or automatically imported, and results are instantly available for review, minimizing turnaround time and maximizing data integrity.

Automating EPA Reporting

Why Environmental Labs Trust LIMS

Customizable and Rapid Reporting

With a LIMS, report generation becomes fast and flexible. Labs can configure reports to comply not only with federal EPA requirements, but also local or permit-specific stipulations. Instead of spending hours assembling results and narrative in spreadsheets or word processors, automated templates can compile compliant reports at the click of a button. This means faster delivery of results to clients and less risk of missing a critical compliance detail.

Audit-Ready Trails and Data Integrity

Regulatory compliance means being able to track every action performed on your data. In a LIMS, every action—be it data entry, edits, reviews, or approvals—is logged with time stamps and user credentials. This creates a complete chain-of-custody and data audit trail that is easily accessible in the event of an audit or regulatory review. Labs benefit from increased security and peace of mind, knowing their records can stand scrutiny.

Elimination of Manual Entry and Centralized Data Management

Manual entry into spreadsheets or disparate databases increases the likelihood of errors and inefficiencies. LIMS centralize all analysis, QC, and client information into a single, secure platform. Results, documentation, and chain-of-custody records are all stored together, streamlining workflow and making information retrieval quick and reliable.

Client Transparency

With LIMS, you can offer secure client portals, giving clients real-time access to results and compliance records. This not only improves transparency but also builds trust, as clients can directly view sample progress and access finalized reports without delay.

How does real laboratory experience translate into better software for scientists and lab managers? Few are better suited to answer this than Bin Yu, CEO of BTSOFT.

With a background spanning analytical chemistry, operational leadership, and software innovation, Bin has led BTSOFT to the forefront of laboratory informatics. Join us for a unique glimpse into Bin’s philosophy on innovation, his perspective on empowering labs with better tools, and how his experiences have shaped our software solutions.

How has your background shaped your approach as CEO of BTSOFT?

My professional journey began in the laboratory. With a background in chemistry and chemical engineering, I spent years working as an analytical chemist before becoming laboratory director. Those experiences allowed me to understand the laboratory environment from multiple perspectives—scientific work, operational management, and regulatory compliance.

Working with laboratory teams gave me a deep appreciation for the challenges labs face every day. This experience continues to shape my leadership at BTSOFT.

I believe laboratory software must be designed from the laboratory’s point of view, reflecting real workflows rather than forcing labs to adapt to rigid systems.

How did you identify the challenges that led to the creation of LIMS?

When I was managing laboratory operations, I realized many LIMS didn’t truly align with how laboratories function. Many were either too rigid or required extensive customization to support everyday lab workflows.

This gap inspired me to design and develop BTLIMS, which is our first-generation LIMS built on a client-server architecture. BTLIMS helped many laboratories manage data, streamline processes, and improve operational efficiency.

As technology continued to evolve, we developed our next-generation platform, ALPACA LIMS, which uses a modern browser-server architecture. This platform aligns with current technology trends and is designed to support the rapidly evolving landscape of cloud computing and artificial intelligence.

How does your scientific background inform your leadership and decision-making at BTSOFT?

Scientific training encourages structured thinking, logical problem-solving, and careful attention to detail. These principles are essential when developing systems that manage laboratory data and workflows.

Because I have worked both as a scientist and a laboratory director, I understand the importance of accuracy, traceability, and regulatory compliance. This perspective helps guide our team as we design solutions that balance technical reliability with practical usability.

What excites you most about being involved in both the technical development and business strategy of BTSOFT?

What excites me most is seeing how technology can directly improve the way laboratories operate. Designing and developing LIMS products that laboratories rely on every day is both challenging and rewarding.

When a laboratory can reduce manual work, improve efficiency, and gain better control of their data through our systems, it confirms that our work is making a real difference. Being able to contribute to that progress is something I feel both excited and fortunate to do.

What sets BTSOFT apart from other solutions in the lab management software space?

One of the most important differences is that our systems are designed from a true laboratory perspective.

As the designer of the system and someone who has spent many years working in laboratories, I focus strongly on the business logic behind laboratory operations.

My goal is for users to feel that the product reflects thoughtful design and deep professional experience.

When laboratories use our system, the workflow should feel intuitive and easy to understand. Users should be able to quickly step into their roles, supported by a clean and efficient interface, while still maintaining rigorous compliance features such as comprehensive audit trails.

If you could tell lab managers one key thing to consider when choosing a LIMS, what would it be?

Look beyond features and consider the philosophy behind the system.

A good LIMS should support the natural workflow of a laboratory rather than forcing laboratories to change the way they work. Laboratories evolve over time as methods, instruments, and regulatory requirements change, so flexibility and adaptability are critical when choosing a long-term system.

How do you spend your time outside of work?

I have always had a strong interest in the arts. Art teaches us to appreciate structure, balance, and attention to detail.

In many ways, I approach the design of a LIMS system as if I were creating a work of art. A well-designed system should have a clear structure, layered logic, and carefully refined details. I try to bring the same sense of craftsmanship and balance into the design of our products.

Outside of work, I enjoy listening to music, visiting art exhibitions, and spending time in nature. Many new ideas and inspirations often arise during these quiet and seemingly ordinary moments.

Modern laboratories rely on powerful lab information management systems (LIMS) to streamline operations, ensure regulatory compliance, and enhance productivity. With evolving technology, the question facing lab managers today isn’t whether to implement a LIMS, but which deployment model best fits their needs: cloud or on-premise

What is a LIMS?

A Laboratory Information Management System (LIMS) is software designed to centralize and automate the management of laboratory data, samples, workflows, and regulatory reporting. A well-designed LIMS boosts productivity by reducing manual data entry and paperwork, supports compliance by maintaining audit-ready records, and helps minimize costly errors.

Cloud vs On-Premise LIMS: What’s the Difference?

Cloud LIMS is hosted and accessed via the internet. It is maintained off-site, usually by the software provider, and can be accessed remotely from anywhere with an internet connection.

On-Premise LIMS is installed and maintained directly on your lab’s local servers. Access and maintenance are managed by your internal IT team, with data stored on-site.

Key Factors to Consider When Choosing a Deployment Model

Cost (Upfront vs Ongoing)

Cloud LIMS typically requires a monthly or annual subscription, keeping upfront costs low and predictable. On-premise LIMS may involve a larger initial investment for hardware and licensing, but recurring costs can be limited to maintenance and upgrades.

IT Resources & Maintenance

Cloud deployments offload IT burdens to the provider, ensuring updates and security patches are handled for you. On-premise solutions require your own IT staff to maintain hardware, update software, and handle troubleshooting.

Compliance & Data Security

Both models can achieve compliance with regulatory standards, but some labs—especially those managing sensitive or regulated data—may prefer on-premise for greater control. Cloud LIMS providers like BTSOFT enforce robust security standards and frequently update protections to meet industry regulations.

Scalability & Remote Access

Cloud LIMS offers superior scalability. As your lab grows, you can add users or labs with ease and access your LIMS from anywhere. On-premise LIMS scaling may require new hardware and internal infrastructure updates, with access typically limited to onsite.

Integration Needs

Both models offer integration capabilities with laboratory instruments, reporting tools, and external databases. BTSOFT’s ALPACA LIMS ensures seamless integration regardless of deployment.

Disaster Recovery & Business Continuity

Cloud LIMS is vendor-managed for backup and recovery, reducing risk of data loss. On-premise disaster recovery depends on your local backup protocols and IT redundancy.

Which is the Best Fit for Your Lab?

There’s no one-size-fits-all answer. Labs with distributed teams or seeking rapid scalability may prefer the benefits of the cloud. Labs prioritizing control, customization, or strict regulatory requirements may favor on-premise deployments. Luckily, BTSOFT helps you evaluate your needs to choose the best model for your workflow and compliance goals.

ALPACA LIMS is designed with your unique requirements in mind. Whether you choose cloud or on-premise, BTSOFT delivers solutions that improve efficiency, enable seamless reporting, and support compliance.

Environmental laboratories play a pivotal role in protecting public health, whether by testing water quality, monitoring air emissions, or providing critical data for public policy. But with these responsibilities comes an ever-present challenge: environmental compliance audits.

These inspections, carried out by agencies like the EPA and state regulators, can strike fear into even the most organized labs. So, if you’re feeling the weight of audit pressure, you’re not alone. The good news? With modern lab management solutions, you can turn audit anxiety into audit confidence.

The Daily Challenges of Environmental Compliance Audits

Every environmental lab knows what it’s like to face a compliance audit. Auditors demand proof that your lab isn’t just producing reliable data. They need to see documented, traceable evidence that every process, measurement, and calibration meets strict regulatory standards. Here are just some of the hurdles labs must clear during audits:

Overwhelming Paperwork & Manual Tracking

Chasing down physical documents like chain of custody forms, instrument logs, and training records is both time-consuming and prone to loss or error. Manual data transcription increases the risk of mistakes and missing information, jeopardizing your compliance status.

Has Your Lab Outgrown Spreadsheets? 7 Signs the Answer is Yes.

Demonstrating Data Integrity and Traceability

Auditors look for tamper-proof records that show how a sample was handled, tested, and reported down to the specific analyst and instrument configurations used. Being able to prove results haven’t been altered and that all quality control (QC) measures were correctly handled is a tall order, especially when using legacy or paper-based systems.

Meeting Regulatory Deadlines and Formats

Environmental compliance audits require you to consistently deliver data in strict formats, on tight deadlines, with full documentation that every analyst is qualified, and every instrument is both calibrated and appropriately maintained.

What Auditors Want to See

The environmental compliance audit process typically unfolds in three phases:

G

The Documentation Deep Dive:

Auditors pore over your Quality Assurance Plan (QAP), standard operating procedures (SOPs), and training records. Can you quickly prove your analysts are trained and certified to perform each regulated method? Is your lab enforcing SOP adherence?

G

The Sample Traceability Test (Vertical Audit):

Next, auditors pick individual samples and track their journey from receipt to final report. Every step—from data entry to result verification—must demonstrate integrity, traceability, and regulatory adherence.

G

Instrument and Calibration Verification:

Auditors examine calibration logs, maintenance records, and QC results. They want assurance that all measurements were made using properly maintained equipment, with full documentation of any corrective action if QC limits were exceeded.
